Engagement plan

The engagement plan tab outlines the services and deliverables as well as the engagement schedule.

Services

Services are the specialized expertise, advisory support, and actionable solutions provided by consultants to help clients address specific challenges, optimize operations, and achieve strategic objectives.

To add a new service to an engagement, click the + Add button, or to update an existing service click on the service.

Import a standard service

Services are defined in the strategy module. Wherever possible, advaise.app recommends creating standard services in the Strategy Module and using them in your client proposals and engagements. This streamlines the processes and ensures services are standardised. Importing a standard service will bring the service and it's activities and details into the engagement. The deliverables and activities will be added to the schedule. The deliverables will also be added to the Deliverables section.

Create a service

If the service you are offering is a one-off, you can create a service directly for the engagement. This service will not be available anywhere else in advaise.app.

Provide a clear name and description of the service.

When outlining your services, it's important to describe the benefits of the service to the client. This will help the client understand why they should choose your company over other competitors. Some key benefits to highlight are:

  • The value the service will bring to the client's business
  • The specific problems the service will solve for the client
  • The expertise your company has in delivering the service

After creating the service for the engagement, you will need to add any deliverables directly in the Deliverables section. This will automatically add the deliverable to the schedule. You will also need to add any activities directly to the schedule.

For services imported from the services catalogue, you can update the deliverables in the deliverables section and the activities in the schedule.

Deliverables

Services are made up of activities and deliverables that define the scope of work that your organisation provides to clients.

Deliverables are a crucial component of any service offering. They help define the work that will be performed and provide a clear picture of what the client can expect to receive upon completion of the project. Deliverables can be anything from documents and reports to software prototypes and other tangible outputs.

To add a new deliverable to an engagement, click the + Add button, or to update an existing deliverable click on the deliverable in the list.

Complete the following steps to create or update a deliverable:

Select the service the deliverable relates to. You can only choose from services that have been added to this engagement in the Plan tab. You will not be able to save the deliverable if a service is not selected.

  1. Add details

Enter a name for the deliverable and a deliverable type. Examples of deliverable types include document, software, workshop. Enter a meaningful description of the deliverable. It's important to provide a clear and concise description of what the client can expect to receive upon completion of the project. You can upload a template that will be used for the deliverable.

  1. Schedule the deliverable

Choose the due date for the deliverable. This will add the deliverable to the schedule.

  1. Milestone

You can link the deliverable to the Milestone. This is particularly important for fixed price engagements, where the milestone payments are tied to deliverables. Milestones are managed in the Financials tab of the engagement.

  1. Status

Select the status from the dropdown, choosing between Accepted, Delivered, and Not delivered.

Schedule

Manage the engagement schedule.

These buttons complete the following actions on the view of the schedule gantt chart:

  1. Toggles between Service/Activity names in a panel on the left-hand side or in/to the right of the item
  2. Expand the Service to display activities and deliverables that make up the service
  3. Include the resources on the schedule
  4. Zoom in or out to a daily/weekly/monthly/annual view
  5. View the schedule as a pop-up screen
  6. Add a snapshot of the schedule in the current view to the engagement charter

To add a new activity to the schedule, click on the + Add button. To update an existing activity, click on the activity in the schedule.

Add or update an activity

Services are made up of activities and deliverables that define the scope of work that your organisation provides to clients. Activities are individual tasks or steps that need to be completed in order to deliver a service. They provide a detailed breakdown of the work that needs to be performed, and help you to manage the project more effectively by breaking it down into manageable chunks.

Complete the following steps:

  1. Select the service

Select the service the activity relates to. You can only choose from services that have been added to this engagement. You will not be able to save the activity if a service is not selected.

  1. Add activity name
  2. Enter description

It's important to provide a clear and concise description of what the activity involves and how it contributes to the overall service.

  1. Schedule the activity

Update the start and end dates for the activity will update the schedule.
